Shark Tattoo: 33 Excel tabs became a system — and the Excel stayed
A German studio with two locations. Bookings and money lived in 33 Excel tabs. They are in a system now — and the sheet is synchronised both ways, every 2 minutes.

The problem
The “Terminem & kalender” register: one sheet per artist × studio × month, 1,084 bookings, dates typed as free text, 12 layout variants, ~20 wrong dates. The old site brought few enquiries. One artist could see every amount, across both studios. Reminders were made by phone.
The solution
A new DE/EN site with 108 works and online booking on real free slots; 1,059 historical bookings imported; two-way synchronisation with Google Sheets — the team keeps working in the sheet, and the sheet gets a tab with the figures; a German-language panel with roles (owner / manager / assistant / artist); automatic email + SMS notifications (confirmation, rescheduling, cancellation, a reminder at 10:00 with a retry at 18:00); escalation of enquiries unanswered after 30 minutes; online deposits through Stripe with daily reconciliation; a customer account with a PDF receipt; automatic Google review requests; an automatic monthly report; a staff app on Android and iOS.
The outcome
One source for bookings and money, per artist and per studio. LCP from 4.93 s to 1.90 s, the page from 3,365 KB to 355 KB (mobile Lighthouse).
In detail
The Excel was not replaced; it became a view of the database. The team keeps working in the sheet, and the two-way synchronisation, every two minutes, keeps it in step with the system. The sheet also gets a tab with the month’s figures, per artist and per studio.
The speed figures are lab metrics (mobile Lighthouse, simulated 4G), measured before and after, not conversion. The bookings and amounts in the imported register are the studio’s history, not a result of the platform.
